And right now, we are looking for an experienced Office Manager to be the first point of contact for all colleagues and visitors to our London HKX office hub. You will ensure that their experience is exceptional by having the space and equipment they need to work efficiently. You will also provide support to the wider facilities team, located at our other hubs.

Additionally, you will monitor and maintain the diary booking system for the meeting rooms and open spaces, provide regular data and insight into the usage of the Saga spaces at HKX, be the key contact for fleet organisations, suppliers and company car drivers and keep the Fleet records up to date by collaborating with other departments including Finance.

Role Responsibility

  • Creating a welcoming and safe environment for all colleagues and visitors to the Saga space at HKX.
  • Supporting all colleagues and visitors with required access, desk and space allocations.
  • Set up technology and space for large scale meetings and events.
  • Resolving day-to-day queries.
  • Support colleagues and visitors in the provision of solutions and resolution of day-to-day technology issues.
  • Monitoring and maintaining the diary for meeting rooms and open spaces.
  • Ensuring sufficient supply of stationery – auditing/ordering and controlling costs
  • Providing regular data and insight of the usage of the Saga spaces at HKX
  • Key contact for fleet organisations, suppliers & company car drivers.
  • Administration of fleet records, collaborating with Finance, Reward and Payroll teams.
  • Updating Motor Insurance Database (MID).
  • Driving for business checks and updates to licences.
  • Following our Business Code of Conduct and always acting with integrity and due diligence.

The Ideal Candidate

  • Experience of supporting and maintaining video conferencing systems including Teams integration.
  • Experience in supporting general laptop issues including printing, wi-fi connectivity, external screen and docking stations and general hardware support
  • Customer service background
  • Administrative duties
  • Working effectively across functions/ departments
  • Senior stakeholder management
  • Windows 10/11 and Office 365 (including Outlook & Teams)
  • Excellent interpersonal and communication skills
