This is a 6 month fixed term contract position that will provide you with a wider view of Saga.

You will be responsible for Providing all round secretarial and administration support to the Director of Customer Operations as well as providing administration support to the Head of Service Delivery, the Head of Customer Support & the Head of Continuous Improvement. The role holder will be required to manage multiple diaries, take meeting actions, receive visitors, collate and prepare reports and papers for meetings. In addition, there will be the need to provide support to other Directors or the Chief Operating Officer during absence of other Personal Assistants. You will liaise with colleagues across the business, so excellent communication and organisational skills are essential.

Proven experience as a PA with the skills and ability to keep a senior manager’s office running smoothly would be ideal.

You should be able to work on your own initiative, have been involved in project work and able to minute meetings as well as have a keen eye for detail.  You will enjoy the responsibility and involvement of a senior administrative role and will be required to support the Director of Customer Operations across multiple sites including Folkestone, Ramsgate and Hastings, subject to his diary.

Role Responsibility

  • Providing full secretarial and administration support to the Director of Customer Operations and assist with diary management, administration and papers for the Head of Service Delivery, Head of Customer Support & Head of Continuous Improvement.
  • Co-ordinating diaries, arranging both internal and external meetings ensuring that all logistics are in place, i.e. meeting room, equipment, refreshments and any required hotel and travel arrangements.
  • Filtering of Director’s telephone calls.
  • Managing the flow of all internal and external correspondence and responding to any correspondence which does not require the specific attention of the Director or forwarding to another member of the team if appropriate. This will include managing the Director’s email inbox
  • Organising the Personal Development Review process for the Director and ensuring these are completed and submitted on time.
  • Receiving visitors and reflecting a positive image on behalf of Saga.
  • Preparing documentation for meetings, such as agendas, presentations and reports.
  • Maintaining holiday and sickness records for the department.
  • Taking notes/actions/minutes at meetings as required. Capturing action points and chasing progress/updates.
  • Checking and processing the Director’s monthly expenses.
  • Analyse and interpret data and information providing summaries for the Director.
  • Arrange staff forums and assist with collation of information to be used by other Saga departments.
  • Working in partnership with other Team PAs/PAs, providing cover when required.

The Ideal Candidate

Capability, Knowledge and Experience:

  • Ability to use Microsoft office: Word/Excel/Outlook/PowerPoint/OneNote proficiently.
  • Ability to take minutes and capture action points.
  • Able to work to deadlines and prompt actions from relevant parties.
  • Accurate typing speed.
  • Minute taking experience.

Education and Qualifications:

  • Excellent standard of English language.

Personal Characteristics:

  • Good communicator – oral, written and listening with attention to detail regarding grammar and punctuation.
  • Strong organisation, prioritisation and time management skills, with ability to multi-task.
  • Trustworthy and able to handle sensitive and confidential material appropriately.
  • Confident in dealing with all contacts, both internally and externally, in a professional manner.
  • Approachable with a proactive and positive attitude.
  • Calm and efficient under pressure.
  • Team player.
  • Flexible, adaptable and embraces change.
  • Excellent analytical skills.
  • A completer/finisher with good attention to detail.
  • Able to manage upwards if required.
  • Keen to progress to Executive PA.
  • Ability to work multi-site when required.
