And right now, we are looking for a Personal Assistant to the CPO to join us. In this role you will provide executive level support to the CPO along with organising and coordinating the People Leadership Team to ensure effectiveness and efficiency in ways of working. 

You will be having regular contact and communication with senior management, senior external contacts, advisers, and suppliers. The role holder should have the tenacity and ability to keep a busy executive’s office running smoothly, adapting to an everchanging diary as well as keeping calm under pressure. 

You will bring experience of project work at a senior level, have minute taking skills and a keen eye for detail.

Role Responsibility

  • Collation of documents required by the CPO for board packs, presentations, and schedules 

  • Using technology to create presentations, documents, data in a way that brings people change to life for others 

  • Keeping ahead of critical project teams and ensuring the people and work occurs on time and in the right way.   

  • Coordinating the diary, arranging all internal and external meetings, and ensuring all planning for meetings have been made such as travel, hotels, lunch reservations etc. 

  • Providing diary support to the direct reports of the CPO 

  • Managing the flow of all internal and external correspondence and responding on behalf of the CPO, re-directing to appropriate colleagues or highlighting to the CPO 

  • Maintaining a bring forward system and managing a filing system 

  • Assisting the CPO to manage sensitive employee information relating to personal circumstances 

  • Ensuring the CPO is aware of any relevant internal and external issues so that they can engage in the right way at the right time 

  • Liaising with high profile external candidates, suppliers, legal advisers, board members and employees. 

  • Confident in arranging large scale meetings and events 

  • Taking notes and actions at the People Colleague Forum/Committee, and other ad hoc meetings, as required 

  • Capturing action points from PLT and other management meetings and chasing actions progress 

  • Maintaining holiday and sickness records for the PLT 

  • Processing the CPO’s monthly expenses 

  • Handling small projects, as and when required 

  • Collaborating with Saga PAs and providing cover when required 

  • Producing purchase orders and processing invoices via the Coupa finance system (training provided) 

The Ideal Candidate

  • Excellent communicator  

  • Extremely discreet and able to handle sensitive and confidential material appropriately 

  • Confident dealing with people internally and externally at all levels with tact and diplomacy in a professional manner 

  • Strong organisation, prioritisation, and time management skills 

  • Advanced digital skills and confident to use a range of applications, interpreting and presenting information in a way that is simple and exceptional 

  • Able to work unsupervised and provide a high-quality service under considerable pressure.   

  • Able to work proactively, taking tasks away from the CPO 

  • Excellent written and spoken communication skills  

  • Able to assimilate information and instruction quickly and take responsibility easily 

  • Excellent attention to detail 

  • A natural curiosity to understand context and the bigger picture 

  • Proven experience as a PA/EA operating at a senior level 

  • Secretarial qualification desirable or educated to A level standard or equivalent 

  • Knowledge and understanding of People policies and practices would be a distinct advantage
